NEMT Dispatcher

As a Customer Service Representative (Trip Coordinator), you will serve as the first point of contact for clients—making a lasting impression by ensuring each interaction reflects our commitment to care, timeliness, and professionalism.

Key Responsibilities

Trip Booking & Coordination

  • Handle incoming calls to schedule non-emergency medical transportation services with accuracy and care.

  • Enter client information into scheduling systems, including pick-up/drop-off locations, appointment times, and special needs or requests.

Confirm ETAs & Manage Availability

  • Provide clients with accurate estimated arrival times (ETAs) and confirm availability of transportation in real-time.

  • Proactively communicate any delays or scheduling adjustments.

Client Support & Service

  • Deliver exceptional customer service by answering inquiries, resolving concerns, and offering assistance with empathy and professionalism.

  • Address special accommodations and ensure every client feels safe, heard, and respected.

Payment & Insurance Processing

  • Process client payments and verify insurance coverage where applicable.

  • Ensure transactions are accurately documented and compliant with billing procedures.

Documentation & Data Accuracy

  • Maintain detailed client records, trip logs, and communications in company systems for clarity and follow-up.

  • Uphold confidentiality and ensure compliance with company and regulatory standards.

Problem Solving & Resolution

  • Respond to and resolve service-related concerns promptly, always prioritizing the client’s comfort and peace of mind.

  • Collaborate across teams to find solutions and prevent future issues.

Team Communication

  • Coordinate closely with dispatchers and drivers to support seamless service delivery.

  • Relay schedule updates or changes clearly to ensure all team members are aligned.

Policy Adherence

  • Follow all Greenlight Ride policies and procedures to uphold safety, professionalism, and consistent client satisfaction.

What We’re Looking For

  • High school diploma or equivalent required

  • 1+ years of experience in a customer service, call center, or scheduling role (healthcare or transportation industry preferred)

  • Excellent communication and interpersonal skills

  • Strong attention to detail and time management

  • Ability to multi-task in a fast-paced environment with professionalism

  • Computer proficiency (Microsoft Office, scheduling systems, and CRM tools)

  • Bilingual candidates encouraged to apply

  • Reliability, punctuality, and a strong sense of responsibility

Physical Requirements

  • Ability to sit at a computer for extended periods

  • Ability to communicate clearly via phone and email
